Privacy Policy

1. Cotroller and Contact

The controller responsible for the processing of personal data in connection with the websites and landing pages under the traidx.io domain, the associated contact and registration forms, the Early Bird list, newsletter mailings, and the onward routing to Telegram groups is:

This Privacy Policy applies in particular to:

  • all landing pages and websites under traidx.io (including subpages such as “The Traidx Hub”, “Traidx Point”, “The Traidx Engine”, “Traidx Fokus”),

  • the contact and registration forms on these pages,

  • the processing of your data for sending the link to our Telegram group(s),

  • the inclusion of your data in our Early Bird list and newsletter,

  • and subsequent email communication for information and marketing purposes.

A separate or extended privacy policy may be provided for any future platform or additional services.

2. No Data Protection Officer

Traidx has not appointed a dedicated data protection officer. If you have any questions regarding this Privacy Policy or the processing of your personal data, you can contact us at support@traidx.com.

3. Categories of Personal Data

We may process the following categories of personal data in the context of our landing pages and communication activities:

3.1. Data you provide via forms

  • First and/or last name (mandatory)

  • E-mail address (mandatory)

  • Message content (for contact forms; free text)

3.2. Communication data

  • E-mail content and metadata (e.g., time of dispatch, opening, clicks, unsubscribes),

  • information on whether and when you joined the Telegram group (if we track this in our systems),

  • your responses or requests via e-mail or Telegram (to the extent that they contain personal data).

3.3. Technical data (website usage)

Depending on your device and browser settings and the cookies/consents you provide, we may also process:

  • IP address (short-term, for security/technical purposes),

  • date and time of access,

  • URL accessed,

  • referrer URL,

  • device, browser and operating system information,

  • basic usage data (e.g., which landing page was accessed).

The scope of technical data processing may depend on the tools and cookies activated on the website (see section 7).

4. Purposes and Legal Bases of Processing

We process your personal data only where permitted by applicable data protection law. The main purposes and legal bases are:

4.1. Contact requests and general communication

When you contact us via contact form or e-mail, we process your personal data to handle and respond to your request.

  • Data: name, e-mail address, message content and any further information you provide.

  • Legal basis: Art. 6(1)(b) GDPR (performance of a contract or steps prior to entering into a contract) where your request relates to a potential contractual relationship, and Art. 6(1)(f) GDPR (legitimate interests) for general communication and business contact.

4.2. Registration on landing pages, Early Bird list and newsletter

When you submit your name and e-mail address via our forms, we use this data to:

  • send you the link to our Telegram group(s),

  • add you to our Early Bird list,

  • send you newsletter and marketing e-mails about Traidx, our services, and future products,

  • and provide onboarding and informational content.

We typically use double opt-in or a similar process for newsletter subscriptions where required by law (i.e., you confirm your e-mail address and subscription via a confirmation e-mail).

  • Data: name, e-mail, technical opt-in data (time, IP, confirmation), subscription status.

  • Legal basis:

    • Art. 6(1)(a) GDPR (consent), where you actively sign up for newsletter/marketing, and/or

    • Art. 6(1)(f) GDPR (legitimate interests) for Early Bird and informational e-mails in the context of pre-contractual relationships, where legally permissible.

  • You can withdraw your consent and/or object to receiving marketing e-mails at any time (see section 10).

4.3. Sending the Telegram group invitation/link

We process your name and e-mail address to send you the invitation link or access information to our Telegram group(s) and communities.

  • Data: name, e-mail, time of registration, Telegram group participation (if tracked).

  • Legal basis: Art. 6(1)(b) GDPR (performance of a contract or pre-contractual measures) and/or Art. 6(1)(f) GDPR (legitimate interest in providing you with access to the community and services you requested).

Please note that the actual use of Telegram is governed by Telegram’s own terms and privacy policy. We do not control Telegram’s data processing (see section 8).

4.4. Marketing, product information and optimization

We may use your data to:

  • inform you about new features, services, early access/offers, and events related to Traidx,

  • analyze basic performance of our e-mail campaigns (open rates, click rates) to understand what content is relevant for our audience,

  • improve our landing pages and communication.

  • Data: name, e-mail, e-mail interaction data (opens, clicks, unsubscribes), basic analytics data.

  • Legal basis: Art. 6(1)(a) GDPR (consent for newsletter marketing) and Art. 6(1)(f) GDPR (legitimate interests in developing and promoting our services and understanding our audience).

You can object to direct marketing at any time (see section 10).

4.5. IT security, abuse prevention and legal compliance

We process personal data to:

  • protect our landing pages and systems against misuse and attacks,

  • detect and prevent fraud,

  • comply with legal obligations (e.g., retention obligations, regulatory requirements),

  • defend and enforce legal claims.

  • Legal basis:

    • Art. 6(1)(c) GDPR (compliance with a legal obligation),

    • Art. 6(1)(f) GDPR (legitimate interest in IT security, abuse prevention, and enforcement of rights).

5. E-Mail Service Provider (Brevo) and Data Storage
5.1. Brevo (Sendinblue) for e-mail sending

We currently use Brevo (formerly Sendinblue) or a similar e-mail service provider to send:

  • confirmation e-mails,

  • e-mails with the link to the Telegram group,

  • newsletter and marketing e-mails.

In doing so, your e-mail address and, if provided, your name are stored and processed by Brevo in order to send e-mails and to analyze campaign performance (e.g., open and click rates).

We have concluded an appropriate data processing agreement with the provider where required.

  • Legal basis: Art. 6(1)(b) and/or (f) GDPR for service e-mails, Art. 6(1)(a) GDPR for newsletter marketing, plus Art. 28 GDPR (processor agreement).

5.2. Storage in internal systems (e.g., Google Sheets)

Currently, the data submitted via our forms may be stored and organized in internal tools such as Google Sheets.

Google may process data on servers located in the EU and/or in third countries (e.g., the USA). We use appropriate safeguards (such as Standard Contractual Clauses) to protect data in accordance with GDPR where required.

  • Legal basis: Art. 6(1)(f) GDPR (legitimate interest in simple and efficient lead management and internal organization), Art. 28 GDPR (processor agreement with Google, where applicable).

6. Telegram

We may invite you to join one or more Telegram groups or channels operated by Traidx. The actual joining and use of Telegram occurs on the Telegram platform and under Telegram’s sole responsibility.

Important notes:

  • When you join a Telegram group, other group members may see your Telegram profile (name, username, profile picture) in accordance with your Telegram privacy settings.

  • Traidx does not control the internal data processing of Telegram. The applicable privacy policy is that of Telegram itself.

  • We may see your Telegram username and activity within the group (e.g., messages you post) as part of normal community interaction. We may use this information to moderate the group and to maintain a safe community environment (legitimate interest under Art. 6(1)(f) GDPR).

  • We do not systematically combine your Telegram username with your e-mail address for profiling or marketing purposes unless we explicitly inform you and, where required, obtain your consent.

If you no longer wish to be part of our Telegram community, you can leave the group at any time via Telegram.

7. Cookies and Web Tracking

Our landing pages may use cookies and similar technologies to:

  • provide basic website functionality (e.g., language settings, technical session management),

  • collect anonymous or pseudonymous statistics on the usage of our pages,

  • support advertising activities (e.g., conversion tracking for Google Ads or Meta Ads).

We use a cookie banner/consent tool on our website to inform you about the cookies and tools we use and to obtain your consent for non-essential cookies (e.g., analytics, marketing) where required by law.

The specific tools in use (e.g., Google Analytics, Meta Pixel, or other analytics/ads tools) and their details are described within the cookie banner and/or a separate cookie policy. There you can also manage your consents and deactivate tools.

  • Legal basis:

    • Art. 6(1)(f) GDPR for technically necessary cookies (legitimate interest in a functional website),

    • Art. 6(1)(a) GDPR for non-essential cookies and tracking (analytics, marketing), obtained via the cookie banner (consent).

You can revoke or adjust your consent at any time via the cookie settings.

8. Third-Party Services and Data Transfers

We may use third-party services to host, operate and improve our landing pages, manage leads and send e-mails. These include in particular:

  • Framer (website/landing page hosting),

  • one.com (domain management, DNS),

  • Brevo (e-mail sending),

  • Google (e.g., Google Sheets, possibly analytics or other services),

  • Telegram (community and communication platform),

  • advertising platforms such as Google Ads and Meta (Facebook/Instagram) Ads (for marketing campaigns and conversion tracking, where implemented).

These providers may process personal data as processors on our behalf or as independent controllers (especially advertising and social media platforms).

Some of these providers may be located in or process data in countries outside the European Economic Area (EEA), such as the United States. Where this is the case and no adequacy decision of the European Commission exists, we rely on appropriate safeguards to protect your data (e.g., EU Standard Contractual Clauses) and take additional measures where necessary.

9. Retention Periods

We only store your personal data for as long as necessary for the purposes described in this Privacy Policy or as required by law.

In particular:

  • Lead and newsletter data (name, e-mail):
    We store your data as long as you are on our Early Bird list and/or subscribed to our newsletter, and for a reasonable period thereafter (e.g., up to 2 years of inactivity), unless you request deletion earlier or object to processing.

  • Contact requests:
    We store your data for the duration of handling your request and for a subsequent retention period (typically up to 3 years) to document communication and to defend potential legal claims.

  • Technical data and logs:
    Technical logs may be stored for a short period (typically up to 30 days, unless longer retention is necessary for security or legal reasons).

If legal retention obligations apply (e.g., commercial or tax laws), certain data may be stored for longer in accordance with those obligations.

If you request deletion of your personal data, we will process this in accordance with applicable legal requirements and our legitimate interests (see section 10).

10. Your Rights (GDPR)

If you are in the European Union or the European Economic Area, you have the following rights under the GDPR, subject to the applicable conditions and limitations:

  • Right of access (Art. 15 GDPR):
    You can request information about whether and which personal data we process about you.

  • Right to rectification (Art. 16 GDPR):
    You can request the correction of inaccurate or incomplete data.

  • Right to erasure (Art. 17 GDPR):
    You can request deletion of your personal data, in particular if it is no longer needed, you have withdrawn consent, or you have validly objected to processing.

  • Right to restriction of processing (Art. 18 GDPR):
    You can request the restriction of processing under certain conditions.

  • Right to data portability (Art. 20 GDPR):
    You can request to receive the data you provided to us in a structured, commonly used and machine-readable format or to have it transmitted to another controller, where technically feasible.

  • Right to object (Art. 21 GDPR):
    You can object to processing based on legitimate interests, particularly to direct marketing.
    In particular, you can object at any time to the use of your e-mail address for newsletter and marketing e-mails; in this case, we will no longer send you such e-mails.

  • Right to withdraw consent (Art. 7(3) GDPR):
    If processing is based on your consent, you may withdraw this consent at any time with effect for the future. The lawfulness of processing based on consent before its withdrawal remains unaffected.

Please note that we may need to verify your identity before processing your request.

You also have the right to lodge a complaint with a data protection supervisory authority, in particular in the EU member state of your habitual residence, your place of work, or the place of the alleged infringement.

11. Children’s Data

Our landing pages, Telegram groups, and newsletter services are not directed at minors and are intended for adults (typically aged 18 and above). We do not knowingly process personal data of children. If we become aware that we have unintentionally collected data from a minor, we will delete this data as soon as possible.

12. Changes to this Privacy Policy

We may update, amend, or replace this Privacy Policy from time to time, for example, if we introduce new services or technologies, use additional tools, or if legal requirements change.

The most current version of the Privacy Policy will be published on our website, with the “Last Updated” date indicated at the top. Changes become effective when posted, unless otherwise specified.

If required by law, we will inform you separately of significant changes or obtain your consent where necessary.
